Standardize Relational Databases

Critical Success Factors

  1. With the direction and support of strong leadership, we will perform an inventory and analysis of the University’s data.

  2. We will define the existing business practices relative to the data the University needs and uses.

  3. We will develop a University-wide entity-relationship diagram and standardized data dictionary.

  4. We will allocate the appropriate resources for true data administration.

  5. We will centralize the creation, integration and maintenance of databases. 

Relational Database Projects


Purpose of this series of projects: Determine the definition and scope of University-wide data, then institutionalize procedures for day to day management of that data.

P1.

Create a survey instrument [interview questions] for Academic and Administrative units –

  • Determine members of workgroup; appoint coordinator
  • Define desired outcomes of data [What do you want to do with this information?], and produce an itemized list of what will be done with the data.
  • Establish a methodology for disseminating work product, gathering information – Phone calls interviews?  Email?  Web form submission?  Review pros and cons from perspective of those providing data and those collating and manipulating resulting inputs
  • Establish a time frame to produce work product
  • Establish meeting dates and times given the product time frame
  • Take first item from list [see step 2 above], and write a list of questions that will elicit the desired information.  Continue with each item on list.
  • Group/organize questions fluidly.
  • Pilot the survey instrument on two units; record pilot results/suggestions for enhancements
  • Incorporate suggested changes enhancements; Revise

Identify university-wide data custodians, both administrative and academic

  • Establish a time frame to produce work product; appoint coordinator
  • Identify available lists of contacts [Unit IT Plans list, Rick Zeisler’s list, Jimmy Rich, others]
  • Determine best method of retaining and disseminating data for future use
  • Inventory lists, collate/crosswalk contacts.  Resolve conflicting information through phone calls, email messages. 
  • Create University data custodian listing in accordance with Step 3, above.
  • Brainstorm process for keeping list current.

Glean Information/Conduct Interviews

  • Establish a time frame to produce final and interim work products; appoint a coordinator
  • Contact each data custodian; disseminate survey
  • Keep a log of questions received from data custodians regarding survey form and clarity
  • Collate and organize responses; determine trends, common denominators
  • Disseminate to larger workgroup

P4.

Make a recommendation to Larry Conrad for presentation at his discretion to Larry Abele, Raymond Bye, John Carnaghi, Dianne Harrison, Sandy D’Alemberte, others?

  • Establish a time frame to produce final and interim work products; appoint a coordinator.  Delegate some tasks to smaller groups as needed
  • Analyze interview/survey responses
  • Record high level relationships and interrelationships between data, academic and administrative units
  • Reach closure on recommended scope and definition of University-wide data
  • Write a letter to Larry Conrad under the signature of the Strategic Planning Implementation team, outlining possible benefits of above proposal
  • Wait for response/Amendments to the recommendation
